
Finance and Operations Manager
Full-Time | Location: Lakeside Park, KY and Greater Cincinnati Area
Position Overview:
We are seeking a highly organized, detail-oriented, and dynamic Finance and Operations Manager to join our team at The Angelico Project. This full-time position offers an exciting opportunity for someone passionate about the intersection of business operations and Catholic evangelization. The Finance and Operations Manager will oversee internal business operations, financial management, and administrative functions to ensure the financial stability and operational efficiency of our growing apostolate. The ideal candidate will have experience in accounting and financial oversight and be comfortable with technology. Most importantly, the candidate must have an entrepreneurial spirit and be excited to contribute to the mission of evangelizing through art, thought, and culture.
Key Responsibilities:
- Financial and Compliance Management
- Oversee financial processes, including tracking expenses, generating invoices, and ensuring timely payments.
- Assist with budget tracking, financial reporting, and collaborating with the Executive Director and accounting partners.
- Ensure all financial records are up-to-date and align with organizational goals.
- Help set, manage, and track event budgets and other financial projections for organizational growth.
- Support in managing financial audits and ensuring compliance with financial policies and regulations.
- Stay informed of nonprofit legal regulations, ensuring The Angelico Project complies with all applicable requirements.
- Monitor insurance policies, liability coverage, and other legal and regulatory obligations.
- Ensure The Angelico Project adheres to the highest standards of operation for nonprofits in the region.
- Database, Record keeping, and Technology Management
- Oversee website maintenance.
- Maintain organizational databases, including donor records, contact lists, event registrations, and financial data.
- Ensure data and file integrity, security, and accessibility for relevant stakeholders.
- Support staff in utilizing CRM tools for effective donor engagement and tracking.
- Ensure all necessary hardware, software, and systems are in place to support operations.
- Manage software subscriptions and ensure technology is up-to-date and optimized for efficiency.
- Oversee technical support for day-to-day operations, ensuring systems run smoothly.
- Office, Operational, and Facilities Management
- Oversee the organization of office space, order supplies, and manage office logistics to ensure efficient operations.
- Manage print orders, mailings, and ensure professional formatting of organizational materials (e.g., letterhead, event programs).
- Ensure smooth execution of all office-based and operational tasks, from supply management to print production.
- Assist in the search for interim space, project costs associated with an interim space etc.
- When we move into a new space, oversee the management and maintenance of the facility
- Human Resources and Employee Support
- Document all organizational key processes.
- Assist in coordinating employee benefits, including health insurance, and other HR-related tasks.
- Work with payroll departments to ensure accurate and timely payroll processing.
- Support onboarding and offboarding processes for employees and volunteers, ensuring proper documentation and compliance with internal policies.
Technologies & Software
The Business Manager will be expected to be comfortable using or confident in learning to use the following technologies: QuickBooks, QGiv, Salesforce, Constant Contact, Google Drive (Docs, Sheets, Gmail), GoDaddy, WordPress, Canva
Qualifications:
- Education: Bachelor’s Degree in Business Administration, Finance, Accounting, or a related field preferred but not required.
- Experience: 2+ years of experience in business management, operations, or administrative support, preferably in a nonprofit or mission-driven organization.
- Skills & Competencies:
- Financial management and budgeting experience.
- Strong organizational skills and ability to handle multiple tasks.
- Exceptional written and verbal communication skills.
- Experience with database management and CRM systems.
- Proficiency with office technology and software (QuickBooks, Salesforce, Constant Contact, Google Drive, Canva, etc.).
- Ability to maintain confidentiality and handle sensitive information.

Work Environment & Location:
Our office is located in Lakeside Park, KY, with activities across the Greater Cincinnati Area. The Business Manager will primarily work from the office, with some flexibility based on organizational needs. Occasional evening or weekend work for events and organizational meetings may be required.
